What ClickUp is
ClickUp is a work management platform from ClickUp (Mango Technologies), based in San Diego. Work is organized in a hierarchy: a Workspace contains Spaces, which contain Folders and Lists, which contain tasks and subtasks. Every List can be viewed as a list, board, calendar, Gantt chart, table, timeline or workload. Around that sit Docs, Whiteboards, Chat, Forms, Dashboards, Goals and time tracking, and an AI layer called ClickUp Brain.
The pitch is consolidation: replace your task tool, wiki, team chat and AI assistant with one subscription. ClickUp's own pricing page even includes a calculator comparing it against Slack, Notion, Jira and others.
Key features
- Tasks with deep customization: custom fields, statuses, task types, dependencies, priorities, checklists and recurring tasks.
- Many views: list, board, calendar, Gantt, table, timeline, workload, mind map and more.
- Automations: rule-based actions (for example, assign a reviewer when status changes), with monthly limits by plan.
- Docs and Whiteboards linked to tasks, so specs and plans sit next to the work.
- ClickUp Chat for channels and direct messages inside the workspace, plus in-app video recording (Clips).
- Dashboards and Goals for reporting, with advanced cards on Business.
- Native time tracking and timesheets.
- Sprints with points and reporting for software teams.
- ClickUp Brain (AI): AI chat with a choice of models (Claude, ChatGPT and Gemini are listed), writing help, enterprise search across connected apps, AI fields, AI agents and an AI Notetaker for meetings.
- Integrations with Slack, HubSpot, Google Drive, GitHub and many others.

Check the price at checkout before committing.
Strengths
- Feature depth for the price. Unlimited at $7 a seat yearly includes things many rivals reserve for higher tiers, such as Gantt charts and time tracking.
- Flexible enough for most teams: marketing, software, agencies and operations can all model their process.
- Docs, chat and tasks in one place can genuinely cut down on tool switching.
- Generous free plan for small teams, with unlimited members.
- Strong security paperwork: SOC 2 and several ISO certifications, with HIPAA and data residency on Enterprise.
- AI that works on your tasks and docs, not just a chat box.
Weaknesses
- Complexity. The most common theme in user reviews is that ClickUp is overwhelming at first, with settings and features everywhere.
- Performance. Users regularly report slowness in large workspaces and heavy views.
- Free plan storage is tiny at 60 MB.
- AI is extra, and usage-based. Brain AI and Everything AI add $9 to $28 a seat, and agents and automations draw on credits.
- Shifting plans and prices make it harder to budget, as the current plan test shows.
- Docs and chat are good, not best in class. Teams that live in documents or chat may still prefer Notion or Slack.
Privacy and security
ClickUp's security page lists SOC 2 Type 2, SOC 1 Type 2 and SOC 3 reports, ISO 27001, 27017, 27018 and 27701 certifications, ISO 42001 for AI management, and PCI compliance. It hosts on AWS, encrypts data at rest with AES-256 and in transit with TLS 1.2, and lets Enterprise customers keep core data in the US, Europe or Asia Pacific. On AI, ClickUp says it forbids third-party AI providers from training on or storing your data.
If you use the AI Notetaker, remember that recording laws in some places require everyone's consent. We make Hark, a meeting recorder, so read any comparison of meeting features with that in mind.
Platforms
- Desktop: Windows, macOS and Linux apps.
- Mobile: iPhone, iPad and Android.
- Web app and Chrome extension.
Who should use ClickUp
ClickUp is a good fit for teams of roughly 5 to a few hundred people that want one configurable place for projects, especially agencies, marketing teams and software teams who need custom statuses, automations and workload views. It also suits teams trying to drop several subscriptions in favor of one.
It is a poor fit for individuals who want a simple task list, for teams without someone willing to set it up and keep it tidy, and for people who mainly need a wiki or note-taking app.
Which ClickUp plan do you need?
- Free Forever works for trying ClickUp or for a tiny team with few attachments; the 60 MB storage limit is the main blocker.
- Unlimited ($7 per user per month billed yearly) is the sweet spot for most small teams: unlimited storage, integrations, Gantt charts, custom fields, time tracking and guests.
- Business ($12 billed yearly) is for teams that rely on automations (5,000 a month), advanced dashboards, workload and timeline views, or need Google SSO.
- Enterprise is for organizations that need SAML SSO, SCIM, audit logs, HIPAA or data residency.
Add AI only if your team will use it daily: Brain AI at $9 per user per month roughly doubles the cost of an Unlimited seat, and Everything AI at $28 is more than the Business plan itself. You can try AI features on the Free plan first.
Tips for a smoother rollout
- Start small. Set up one Space and one team's workflow, then expand once it works.
- Turn off what you don't use. ClickUp lets you hide features (ClickApps) per Space, which makes the interface much calmer.
- Agree on statuses and custom fields up front so reports and dashboards mean something.
- Use templates for recurring projects instead of rebuilding them each time.
- Name an owner who keeps the workspace tidy; ClickUp rewards a little ongoing maintenance.
Alternatives
- Notion: docs and databases first, lighter on project management.
- Todoist: a fast, simple task manager for individuals and small teams. See also Todoist vs TickTick.
- Motion: projects plus AI that schedules work into everyone's calendar.
- Asana, monday.com and Trello: other popular project tools, generally simpler than ClickUp but often pricier per seat.
