What Calendly is
Calendly is an online scheduling tool from Calendly LLC in Atlanta. You connect your calendar, set the hours you are available and create "event types" (for example, a 30-minute intro call or a 60-minute consultation). Each event type has a booking link. Invitees choose a free slot, and Calendly adds the meeting to your calendar with a video link, sends confirmations and handles reschedules and cancellations.
In 2026 Calendly started describing itself as handling "all of the work around meetings," adding Notetaker for recordings and recaps and Callie, an AI assistant that schedules over email.
Key features
- Event types and booking pages. Durations, buffers, minimum notice, daily limits and custom questions.
- Calendar connections: Google, Outlook/Microsoft 365, Exchange and iCloud; one on Free, six on paid plans, checked for conflicts before anyone books.
- Video links for Zoom, Google Meet and Microsoft Teams added to each booking automatically.
- Meeting polls and one-off links for coordinating a group time quickly.
- Group meeting types (collective, group and others) on paid plans.
- Reminders and follow-ups by email and text to reduce no-shows.
- Payments through Stripe or PayPal so clients pay when they book.
- Teams features: round-robin distribution, routing forms that qualify and route leads, centrally managed event types and Salesforce, Marketo and Pardot connections.
- Notetaker (add-on): joins Zoom, Google Meet and Teams calls to record and transcribe, and produces shareable recaps.
- Callie (beta add-on): copy callie@calendly.com on an email thread and it suggests times, coordinates replies and books the meeting.
Calendly pricing (as of October 2026)
From Calendly's pricing page, per seat per month in US dollars. Only hosts need seats; invitees never do.
| Plan | Billed yearly | Billed monthly | Highlights |
|---|---|---|---|
| Free | $0 | One event type, one calendar, unlimited one-on-one meetings, booking page, browser extension | |
| Standard | $10 | $12 | Unlimited event types, 6 calendars, reminders and automations, HubSpot and Mailchimp, Stripe and PayPal payments |
| Teams | $16 | $20 | Round robin, routing, managed event types, Salesforce, Marketo and Pardot, optional SSO add-on |
| Enterprise | From $15,000/year (50+ seats) | SSO and SAML, domain control, audit log, data deletion API, dedicated support | |
Notetaker and Callie are switched on per plan with an "Add Notetaker & Callie" toggle on Standard and Teams, which raises the per-seat price; on Enterprise they are available on request. Calendly offers a 14-day trial, after which your account moves to the free plan rather than charging you.
Strengths
- Simple for invitees. No account, no app, a clean page; people recognize the format.
- Reliable calendar checks across several calendars, so double-booking is rare.
- Useful free plan for a single type of meeting.
- Excellent team routing for sales and recruiting, with round robin and lead routing on Teams.
- Broad integrations with video tools, CRMs, marketing tools and payment processors.
- Strong security credentials: SOC 2 Type 2, SOC 3, ISO 27001 and CSA STAR.
Weaknesses
- Free plan is narrow. One event type means one meeting length; most professionals hit the limit quickly.
- Per-seat costs add up for teams, especially with AI add-ons and the $15,000 Enterprise floor.
- Overlap with tools you may already have. Google Calendar appointment schedules and Microsoft Bookings cover basic booking in many business subscriptions.
- Etiquette. A recurring complaint is that sending a link can feel impersonal to senior contacts; some people prefer to offer a few times by hand.
- Notetaker uses a bot in the call, which some participants dislike, and it and Callie are English only.
Privacy and security
Calendly's security page lists SOC 2 Type 2 and SOC 3 reports, ISO/IEC 27001, CSA STAR and PCI compliance. It encrypts data in transit with TLS 1.2 or higher and at rest with AES-256, and offers SSO, SCIM provisioning, multi-factor authentication, login notifications and an audit log. Calendly reads your calendar to check availability, so review the permissions you grant when connecting.
If you turn on Notetaker, it records the people you meet with. Some places require everyone's consent to record; see our guide to recording consent laws by state.
Platforms
- Web app for setup and management.
- Mobile apps for iPhone and Android.
- Browser extension for Chrome and others, plus add-ons for Gmail and Outlook.
- Embeds for putting booking pages on your own website.
Who should use Calendly
Calendly suits freelancers, consultants, coaches and anyone who books many external meetings; sales, customer success and recruiting teams that need routing and round robin; and businesses that want clients to pay when they book.
If you only book a handful of meetings a month, the free plan or your calendar's built-in booking page may be enough. If what you really want is for your whole day to be planned automatically, look at Motion instead.
Free vs Standard vs Teams
- Free is enough if you offer one kind of meeting, such as a 30-minute call, from one calendar. You still get unlimited bookings and a custom booking page.
- Standard ($10 a seat per month billed yearly) is the usual choice for freelancers and consultants: several meeting types, up to six calendars checked for conflicts, reminders and follow-ups, group meeting types and payments.
- Teams ($16 billed yearly) is built for groups that share incoming meetings: round robin, routing forms that send each lead to the right person, centrally managed event types and Salesforce integration.
- Enterprise (from $15,000 a year) is for large organizations that need SSO and SAML, domain control, audit logs and dedicated support.
The 14-day trial lets you try paid features, and when it ends you drop to Free rather than being billed, so there is little risk in testing whether reminders or routing are worth it for you.
Tips for better scheduling links
- Add buffers before and after meetings so back-to-back bookings don't leave you no time to prepare.
- Set minimum notice and a daily limit so nobody books you for ten minutes from now or fills your whole day.
- Ask one or two questions on the booking form to learn what the meeting is about, not ten.
- Offer a link thoughtfully. With senior or new contacts, many people offer to book on the other person's calendar instead.
- Check time zones: Calendly shows times in the invitee's zone automatically, but double-check your own working hours after travel.
Alternatives
- Motion: AI scheduling of your own tasks and meetings, with booking links included.
- Google Calendar appointment schedules and Microsoft Bookings: often already included in your work subscription.
- Cal.com: an open-source scheduling tool with a free tier and self-hosting.
- Use our meeting planner across time zones to find a time that works for people in several cities.
